Data Protection - how does hotel.de use your data?

hotel.de AG operates a worldwide hotel reservation service under www.hotel.de, www.hotel.info and all linked partner sites. hotel.info GmbH, hotel.info reserveras hoteleras S.L., hotel.info hotel booking Ltd., hotel.info Italia S.r.l., hotel.info France S.A.R.L. and hotel.info Pte. Ltd. are subsidiaries of hotel.de AG. The following Terms and Conditions of Participation of hotel.de, hereinafter referred to as the “provider“, apply to all domains and subsidiaries of same.

The provider would like to increase your trust in the online reservation of hotels. Therefore we provide comprehensive details as to which information is obtained from you and how we use this information.

The provider always adheres to the data protection laws in the relevant country.

1. Anonymous use of the reservation service, possibilities of registration

    In general, it is possible for you to access our reservation service without disclosing any personal information: i.e. it is possible to view the hotel offers anonymously. This means that you can obtain prices and hotel descriptions without having to register. In order to successfully complete a booking your contact details are required. On registering you do have the opportunity to have these contact and booking details stored with us as they otherwise will have to be entered every time when making a new booking. All these contact and booking details can be viewed and bookings amended or cancelled at any time. Additionally you may change or update your contact details yourself at any time. Furthermore you may also store further details such as the invoicing address. You are able to book without logging in but will not benefit from the following features.

2. Data collection and the use of data during the hotel search and booking process

    When a booking is made the follwoing details will be saved: Name, address, telephone number, e-mail address, details of the booking (hotel, destination and arrival and departure dates) as well as "additional information to the hotel", in as much as anything is entered in this field. Bookings made using a credit card will also store the credit card name, name of the cardholder and date of validity. In addition the time that the booking was made and the IP address from which the booking was made will also be stored.
    Your details are used in order to carry out, classify and allocate costs for each booking. On making the booking a contract for the arrangement of the booking is made. The provider utilises these details in order to carry out the contract.
    When a booking has been made successfully you will receive a confirmation of booking by e-mail from us. You will also always receive an e-mail from us if you make any changes to your booking or personal details. After your departure you will additionally receive an automatically generated e-mail inviting you to make an evaluation of the hotel booked. Your evaluation is stored anonymously. There is no connection of this to your actual booking.
    When searching for hotels using the hotel.de mobile application (App for iPhone, Android, Windows Phone, etc.), you can also request search results for your current location to be displayed. To do this, you must give the provider your current location. This is only transferred when the corresponding search function is used. The information is only used to determine the best search results. Location information is not stored by the provider or used in any other way.

3. Data transmission to third parties

    When a booking is made your contact and booking data and, when appropriate, your credit card details (for bookings made using a credit card) as well as "additional information for the hotel" will be transmitted to your selected hotel. In transmitting the credit card data (credit card number, card holder and date of validity) the CVC-Code will not be stored or transmitted.
    Apart from this hotel no one else receives any data, apart from when there is a legal obligation. In the case of criminal investigations e.g the suspicion of a crime, we pass on all the necessary data to the authorities.
    hotel.de does not pass your details to other hotels neither do we sell address lists. The correct use of your personal details is an integral part of the business philosophy of hotel.de.

4. Use of data in competitions

    In order to be able to participate in competitions organised by hotel.de e.g. to win a hotel stay, you must register. The details stored are then used to inform you should you be a winner, as well as to ensure that each customer only makes one entry for the same competition. Once the winner has been drawn, the prize draw partner shall be informed by e-mail.
    The details of the winner (name, address) will be transmitted to the hotel won in the competition to authenticate the result. The hotel shall be instructed that the data is only to be used for the purposes of redeeming the voucher and that any further use is prohibited.
    In individual cases we will ask, at the prize draw partner's request, if you agree to your data being disclosed to the partner. In such cases you will consent to the disclosure of data by submitting a separate declaration.

5. Use of data for sending newsletters

    If you have given us your e-mail address for this purpose or you declared yourself to be in agreement whilst making a booking you will receive regular newsletters from hotel.de featuring hotel special offers, reductions or one-off benefits offered by hotels in our system. The provider only uses your e-mail address for this purpose and only informs you of their own offers. However without your agreement you cannot be informed about special rates offered to hotel.de customers. If you unsubscribe to the newsletter your e-mail address is removed from the list of recipients.

6. Data processing when using the websites

    Cookies
    The websites of the provider make use of so-called "cookies" which are small text databanks which are incorporated in your computer in which data is stored to enable recognition on other occasions. Cookies are set during registration in order to authenticate the user during his/her active session. You can delete cookies at any time from your computer and use the website without them.
    Plug ins
    The websites of the provider incorporate several extensions (plug ins, page contents from other providers). In calling up the websites a connection is automatically established with the relevant provider so that they receive details of the user such as domain name, connection date, http answer code, website requesting connection, data volumes as well as IP addresses or parts thereof. No access to personal data takes place.
    The following providers are used for this purpose:
    Google Analytics, a website analysis service of Google Inc. ("Google"), compiles statistics on the usage of the provider's website, analyses the type and volume of the page usage and creates anonymous reports on the website activity. The IP address is transmitted in a shortened form so that this data also remains anonymous. The data is stored in the USA: Google observes the data protection laws of the USA (US Safe Harbour Agreement) and is registered with the US Trade Ministry for this programme. You will find more information on http://services.google.com/sitestats/en.html.
    Facebook (Facebook Ireland Limited, Hanover Reach, 5-7 Hanover Quay, Dublin 2 Ireland) stores the data in order to assign usage of the website to your Facebook account, in as much as the user is a member. This assignment is made when you are logged in to Facebook or if you save Facebook cookies on your computer. If you actively use this extension, e.g. by clicking the "I Like" button or when leaving a comment, the resulting action is displayed in your Facebook profile.ext If you do not wish Facebook to receive this data you must log out of Facebook or delete their cookies before logging on to the website of the provider. Facebook observes the data protection conditions of the „US Safe Harbor“ agreement and is registered with the US Trade Ministry for this programme.     Addthis (Clearspring Technologies, Inc., 8000 Westpark Drive, Suite 625 McLean, VA 22102, USA) uses the data in order to give you the possibility of making a recommendation of the websites called up (e.g. through Twitter) or to allow saving of bookmarks (e.g. through Google). When actually making recommendations or saving favourites these are saved and your recommendation or saving of a favourite are transmitted to the selected provider (e.g. Twitter, Delicious, MySpace) and are saved there. Further processing of data transmitted by AddThis is done in accordance with the privacy policy of the company itself http://www.addthis.com/privacy#publisher-visitors.
    In all cases the provider only permits the connection to the third party. The purpose and scope of the said data storage and the use of same by the provider as well as your right to protection is covered legally with each provider.

7. Protection of your data

    Your personal details are transmitted securely by hotel.de through encoding. This applies to your booking and your customer log in. For this the provider uses the coding system SSL (Secure Socket Layer). Your data cannot be read by anyone outside the Company.
    Your data is stored on the servers of hotel.de. The whole of the IT area is part of our own IT safety concept. The servers and networks are protected from outside hacking by modern safety components. The processing of your data within the Company is subject to the rules of the data protection concept. The provider has empowered an external data protection consultant and combines his processes with the internal data protection. This concept ensures conformity with the protection of your personal data.
    As a user you are obliged to treat your personal log in details as confidential and not to make these available to unauthorised third parties. The provider accepts no liability for misused passwords in as far as the provider is not responsible for same.

8. Deletion of your details

    You may delete your log-in details at any time. The data concerned with a booking or service remain stored in the system of hotel.de until the deadline has passed for all claims. If reservations have resulted in payment processes this data has to remain stored until the deadlines in accordance with the statute of limitation Thereafter their usage is blocked but can be made available to auditors and the financial authorities if necessary.

9. Your rights: Cancellation, changes, information

    Unsubscribe Newsletter:
    You may revoke the use of your e-mail address for the despatch of the Newsletter at any time. There are various possibilities
    1. A link to unsubscribe can be found in every newsletter. If this is used you will be removed from the list of newsletter recipients.

    2. If you are registered and logged in you may administer and change your subscription under the menu point "Newsletter" at any time.

    3. Finally you may inform hotel.de by means of a simple message of your wish to terminate. Your data is then blocked. Just send your cancellation to:

    Changing your details:
    On registering you receive a password protected direct access to your data. In the "My profile" area you can administer and adjust your customer and address details as well as the subscription to a newsletter.

    Right to information:
    In accordance with Data Protection laws you have the right to request information about the data stored on you at any time. You also have the right to change, block or delete said data.
